# Managing student medical records

The GO 4 Schools MIS includes medical records for students:

- Medical conditions
- Disabilities
- Dietary requirements
- Medical events
- Healthcare plans

These are all accessible in the main menu via **People \> Students: Medical** and can be viewed on the student record page or listing page for each of the types of record. Permissions to manage each medical area are required to add and edit; additional permissions are available to view the full detailed record or a simple view. Terminologies for each record are managed as school terms in the Terminologies listing page (see [Terminologies](https://support.go4schools.com/mis/terminologies)). The management of each of the above records is consistent within the MIS and can be managed from the student record or from the specific listing page. 

#### **Permissions relating to medical conditions**

To view the summary details of medical staff will need the 'Can view simple student medical condition information' permission, found in the 'Medical' drop-down. To view the detail, including attached information, staff will all need the 'Can view detailed student medical condition information'. To manage (add/remove/edit) information relating to medical conditions they will also need the 'Can manage student medical condition information' permission.

To add confidential dietary documents, the additional permission of 'Can manage confidential medical condition documents' will need to be given.  This can be found in the 'Document' section.

#### **Student attributes**

Each of the medical student details listed above will also be visible in the data explorers if in the student attributes they are set to be visible to staff. If included in an attribute set the data will also display on the student page profile information as well as in the explorer. The attribute settings also enable the medical information to be visible to parents and students. Example: the PE staff need a list of students with asthma for PE, this can be downloaded from the year group or subject explorer. 

#### **Medical conditions**

The medical conditions listing page (**People \> STUDENTS: Medical \> Medical conditions**) enables all students with a condition recorded in the MIS to be available. Options to filter by year group or by a specific medical condition are available. Students can be selected from the list and downloaded as a .csv. The file contains all the specific details of the medial condition.

Selecting a specific student will show the medical conditions recorded:

Clicking on the medical condition type will show further details, plus the options to add documents, view the audit trail of changes made to the record or add summary notes as a succinct note that can be shared with staff. Medical conditions and notes will also show as a student attribute in data explorers and markbook pop-outs if set up in ‘Student attribute settings’.

The ‘Summary note’ will display as a 'Medical quick note' (if enabled in settings) and will display on the student page in the school site, but never to students and parents. 

Documents can be added by drag and drop, browsing, or via a URL for a document held outside the MIS. Added documents can be marked as confidential which only allows them to be viewed by those with the ‘Can view detailed student medical condition information' permission.

#### **Adding a medical condition**

Medical conditions can either be added via the student record page, or via the medical conditions listing page.

 

#### **Adding from the medical conditions listing page**

Select **+Add medical condition** to access the modal and add the required details.

Then click on  ‘select student’ to access the student search page.

#### **Adding the from the student record page**

A medical condition can also be added via the student record page by using the **+Add new medical condition** from the medical conditions block, the modal is the same above and can be completed with required information, then displaying as:

Once added to the student record the condition can be selected and more detailed information and documents added, as per the medical conditions page.

#### **Viewing medical conditions**

Data populated for student medical conditions can be viewed via:

1. The medical conditions listing page
2. The individual student record page
3. Student attributes as named condition and also Medical notes, see student attributes for more information about management of the display
4. If enabled to show on the student profile page, medical conditions can be made visible to staff on the student page
5. If included in an attribute set, medical conditions will display in the data explorers
6. If included in an attribute set to show in markbook pop-outs
7. As a medical note on the student page in the school site.

#### **Medical notes**

A summary note added to a medical condition will display as a 'Medical quick note' if enabled on **School \> Contact details and settings \> MIS tab:**

The medical quick notes will via the '+' icon in a pop-out.
