# Timetable import and set up

GO 4 Schools MIS currently will accept XML timetable files from :

- NOVA T
- Timetabler
- Untis

The files can be imported into the MIS where validation checks are added and the timetable can be previewed prior to approval. Once the import of the timetable structure is complete rules can be applied to make some simple amendments to the visible timetable data. The MIS also offers the option to upload an ‘amended’ version of the timetable from an effective start date to make simple changes easier to manage.

**Timetable import**

**Curriculum \> Timetable set up \> Timetables \> Timetable import** for the page where the files can be added. The files required are:

- Basic data – teacher list
- Basic data – subject list
- Basic data – site list
- Basic data – room list
- Basic data – timetable cycle (days and periods)
- Basic data – non-teaching activities list
- Curriculum – teaching group list
- Curriculum – junction list
- Schedule – lesson list

### Data exports

***The data exports*** tab provides schools with files for subjects, rooms, sites and teachers to upload to the timetable software from the MIS. If these downloads are used when the new timetable files are updated these will map to the data in the MIS.

Select whether a new timetable or a revised timetable is being imported, if a revision to your timetable is imported a comparison page will show the changes.

Select the Timetable provider from the drop down list and add the details for the period the timetable is to be active. Timetabler and Untis files need no additional data.

Timetable cycle – Nova only

When the user chooses "Nova" as the timetable provider, they will need to set up and select a timetable cycle. The purpose of this modal is to set up a timetable cycle.

Once the cycle is selected for one or two weeks and the days required, select next. The modal now allows the addition of the start and end times of the day and the start and end times for each lesson. This allows the MIS to map to the times set up in Nova. The user can:

1. create a timetable cycle.
2. delete a timetable cycle.
3. set up timetable periods.
4. the modal shows an error message when you try to add data that doesn't make sense. (e.g overlapping period)
5. the period table is ordered based on the start time.
6. edit an existing Nova timetable cycle.

Once the cycle is added this can be named and saved to apply to revisions of the timetable. A start and end date is also required for the period that the timetable is to be applied. In other areas of the interface, for example; courses an effective from date can be set and this will align with a current or future timetable.

##### Import the timetable

To import, drag and drop the timetable zip folder into import area. The upload will take a little time due to the amount of data. You will automatically be directed to the Timetable rules page. Once saved the timetable can be previewed.

#### Timetable preview

Once imported the timetable can be previewed:

A report of the files imported will display. Tabs to compare premises, subjects, groups, teachers and non-contact time are available, errors will display for any data that is preventing the import.

- A list of new rooms not in the MIS will display and create these for you.
- New subjects that are in the timetable that do not exist in the MIS will display as an error, so this can be set up as a new course and then the timetable re-processed. New courses are not automatically created.
- Groups listing can contain mismatches between the timetable and the MIS as we will create any new groups found in the MIS.
- Teachers will show an error for any teacher codes in the timetable that do not exist in the MIS. The staff member will need to be created or removed from the timetable.
- Non-contact time activities will be listed.

The timetable can then be uploaded to the MIS.

##### Reprocessing a timetable

Processing the timetable re-runs to import. If a timetable rule is changed the timetable is processed to apply the new rules. Only the most recent version of the timetable can be re-processed.

So if a timetable for the next academic year is uploaded and then timetable rules created and changed, re-processing the timetable will only run on this more recent version.

 Timetable rules

Once the timetable is imported the user can create timetable rules to modify the timetable. After uploading a new timetable you will be directed to the MIS timetable rules page.

There are 7 types of rules you can create:

Select **+Create new rule set** to set up your rules. Each set requires a name so rules can be created under different sets. Select **+Add a new rule** and then select the rule type from the drop down menu.

#### Remove student timetabled period

This rule will remove timetabled period for a student (s) for a specific period or day. So might be used if a student is not expected to be in school for a reduced timetable. Students can be added to the rule via the student selector.

#### Remove timetabled lesson

This rule allows groups of students to be removed from a timetabled lesson for a subject or a group. It might be used to remove some students from extended curriculum lessons such as the extended project.

#### Co locate timetabled group

This rule adds lessons to the timetable for a group, room or teacher for specific periods. This rule is useful where vocational courses are timetabled together but you may need to split the students up for the different levels of the award ie certificate and diploma students.

#### Add timetable priority

If clashes have been built into your timetable where all students are in Maths for example but some students need to be in Further Maths then this rule can be used to prioritise lessons and resolve the clash. This rule is useful when managing an alternative curriculum timetable.

#### Add timetabled group teacher

This rule is used to adjust assigned teachers to a group or to add additional teachers to a group such as Teaching assistants that are not linked to the group on the timetable.

#### Remove a timetabled group teacher

This rule removes a teacher from a timetable assignment. It can be used if a teacher is on long term absence and temporary cover is to be used for the group.

#### Replace a timetabled group teacher

Used to replace the assigned teacher. Could be used for a temporary change of teachers.

This is a page which will let you view and resolve timetable clashes. There are 4 types of clashes: Room clashes, teacher clashes, group clashes, student clashes

- Room clashes are when a room is used in two lessons at the same time
- Teacher clashes are when a teacher is teaching two lessons at the same time
- Student clashes are when a student is taking two lessons at the same time
- Group clashes are when a group is scheduled for two lessons at the same time

There a three icons used on the page, each with their own count and modal for resolving. Student and group clashes both deal with students so they are combined into one. Some clashes are expected for example a large room being used by two classes at the same time is ok so we allow schools to mark a clash a ‘do not resolve’. Once a clash is resolved, it will be resolved for every week in the timetable that the clash occurs in.

Once the timetable is imported clashes can be viewed and the icons will reflect the clashes.

Each time a clash is resolved the count of clashes will decrease

#### Group student clashes

These can be resolved by changing the student group.

#### Editing clashes

By reselecting the resolved clashed they can be edited and altered as required.

 

 Timetable report

Once the timetable is imported the reports page allows the timetable to be printed or saved as a PDF in various views.

**Curriculum \> Timetable set up \> timetables \> Timetable Report** accesses the page to view timetables.

Select the weeks that you want to view the timetable for, if you have a new timetable ready to start in the future this can be viewed by changing the dates, same for a past timetable.

There are 3 filters to select for a timetable view:

- Students – by year group, subject, groups, individuals
- Teachers
- Rooms

Only one filter can be applied at a time.

#### Student timetables

The student picker allows the selection of students from year groups to specific departments etc.
