# Baseline grades

Baseline grades are an important way of storing students’ ability levels at the **beginning of an academic year**, in order to measure progress made as they move through the school. Baseline grades are generally Teacher Assessments made **within the school**, in contrast to Actual Grades which generally come from **external sources**, for example at the end of formal courses, or at the end of Year 6 (KS2 SATS).

Baseline grades can be added to GO 4 Schools via a few routes. They can be:

- Uploaded using the page for managing baseline grades (for any academic year).
- Entered via markbooks (for the current academic year only).

### Uploading baseline grades

Baseline grades may be entered directly into markbooks for the current academic year, but a baseline upload facility is also available, enabling you to upload baseline grades for current or previous academic years.

When uploading baseline grades, you must use a QAN code, or a 'special' code that fits the grade type you are uploading - and all grades in the file must use the same code (KS 3 General for example). The below is an example using an internal grading scheme code:

First choose the year group that the students are currently in, in the above screenshot I'm uploading baselines for year 11 Art students, for when they were in year 7, so I've set the "Grades awarded to students when they were in" field to Year 7, given the data set an appropriate name, and then selected my file.

Once a baseline grade file has been uploaded it is validated and a summary of the contents of the file is displayed. If records cannot be processed for any reason, e.g. a qualification or student is not recognised, feedback is provided. 

At this stage you can choose to either save the grades, or cancel processing if you need to revise contents of the file before re-uploading it.

### Linking baseline grades to subjects

When baseline grades are entered into markbooks they are automatically linked to the appropriate subject. However, when baseline grades are uploaded you need to link them to specific subjects before they are used by GO 4 Schools. This can be done using the Subject Settings page:

As I've uploaded grades for when the students were in year 7, I've gone to Art for when the year 11 students were in year 7, and then will link the baselines for their year 7:

It is possible for a single set of baseline grades to be linked to multiple subjects, e.g. a set of History baseline grades can also be linked to Geography.

### Entering baseline grades directly into markbooks

When enabled in Grade settings, baseline grades can be directly entered into markbooks. This is quicker than using a grade file when just one or two grades need entering.

**Please note:** When baseline grades are linked to multiple subjects it is not possible to edit them via the markbooks. In certain situations, you may want to use the same set of baseline grades for multiple subjects. For example, you may want to use a single set of “humanities” baseline grades for Year 7 Geography, Year 7 History, Year 7 RE, etc. In these situations GO 4 Schools will disable editing of the baseline grades to prevent confusion when a baseline grade may be changed in subject X without realising the impact it would have on subject Y.
