# Controlling student access
**Login mechanisms**
There are two mechanisms available for students logging on to the GO 4 Schools website:
- Email and password login – where the student provides their email address and password. This mechanism allows students to log in from school or home.
- Single Sign On (SSO) – where the student uses their Microsoft/Google account credentials to access the site.
**Login requirements**
For a student to be able to log in to GO 4 Schools, the system needs to know:
- The student’s email address, and which UPN this corresponds to. This needs to be prepared and uploaded by the school – see “Mapping student accounts onto UPNs” below.
- They must also belong to a combination of academic year and year group for which access has been enabled.
**Mapping student accounts to UPNs**
When a student logs in we rely on a mapping between their UPN and their email address to control the information they see. This mapping must be uploaded before students can log in and will need adjusting as students arrive and leave the school.
The mapping is uploaded to GO 4 Schools as a CSV (comma-separated value) file, whose format is described on the Student access page accessed via the people menu:
This is also where the mapping can be uploaded to GO 4 Schools. The page provides a summary of how many mappings are known and how many are not known. You can also download the current mapping, amend it by “filling in the blanks” and then re-upload it.

*Please note: mapping is only required between UPN and email addresses. Windows account names are no longer required.*
**Controlling student access by academic year and year group**
For each academic year that you use GO 4 Schools you can independently control access for each year group of students. This can be useful if you want to “stagger” access to GO 4 Schools. This is available at the top of the student access page:
To disable access for a specific AY/Year group combination, you deselect the tick, and then save the page - to renable access, you click the visible box, and save. For example in the above image, if I wanted to hide the previous academic years for my year 11 students, I'd deselect Year 10 2020, Year 9 2019, etc.

**FAQs about student access**
- **What happens if a student forgets their password?**
They should enter their email address and press the “Please send me a new password” button on the login page. A link will then be sent to them to set a new password.
- **Student not appearing in GO 4 Schools**
Check that the student has a UPN in your MIS, if they do not, issue them either a temporary or add their permanent one. Once the nightly feed runs, you can check that the student exists the next day.
- **Student not able to log in**
Check that you have enabled Year group visibility for the student’s year group and academic year on the Student Access page.
Check that the student has a complete record in the "UPN mapping" file, described above. If they don’t, fill in the missing data and re-upload the file.
