# Guidance on tracking Internal/FixedTerm Exclusion using Detention Management

**Sample practices for behaviour – using detention management**

This guide is intended to support school leaders with the effective use of the detention management functionality beyond the tracking of whole school detentions. It should be read in conjunction with the **Detention Manager Guide.**

This guide will explore how you can use the detention management functionality to effectively monitor and record internal exclusions and fixed-term exclusions. Whilst GO 4 Schools can effectively monitor fixed-term exclusions using this functionality, GO 4 Schools is not yet able to provide the exclusion level data required for the school census return. Therefore, all fixed-term and permanent exclusions must still be recorded in your current management information system (MIS). It is anticipated that this functionality will become available in GO 4 Schools as part of our MIS development currently taking place.

Effective monitoring of behaviour data is essential to supporting a positive climate for learning across the school. By using GO 4 Schools behaviour module, you can review trends at subject, year group, student, behaviour type and detention level for all students and key focus groups. This guide will also enable you to effectively monitor internal and fixed-term exclusions for all students and key focus groups in a similar way. 

**National focus groups/areas to investigate from Ofsted’s Inspection Data Summary Report (IDSR)**  

The following key student focus groups have been identified as areas to investigate levels of achievement during inspection. It is likely that the attendance and behaviour trends of these groups will also be of interest to inspectors. These groups may appear as priorities in your IDSR or within Analyse School Performance (ASP) and may be identified as lines of enquiry during an inspection. 

- Higher prior attaining, disadvantaged boys
- Higher prior attaining, disadvantaged (white British boys)
- SEND by prior attainment – all coded groups (EHCP – E, SEND support – K, Statement – S vs non-SEND)

Whilst these groups have been identified as priorities based upon national data, you may have different focus groups that have been identified from your school level data. By setting up attributes to cover these national focus groups and your school level focus groups, you will ensure that you are able to interrogate and triangulate your data (attainment, behaviour and attendance) at any point in the year for these priority students. This enables early support to be provided to ensure any barriers can be mitigated or removed so that every student can enjoy attending school and achieve their target grades.

School managers can create attributes in GO 4 Schools. Should you require additional attributes to support your analysis you should discuss this with you line manager or GO 4 Schools lead person. **Setting up to track internal exclusions and fixed-term exclusions**

**Setting up your detention sessions**  

In order to track internal and fixed-term exclusions in GO 4 Schools, you need to setup your detention sessions to include internal and fixed-term exclusion sessions. Your current managed detention sessions may look like the one shown below, where only detention sessions are identified at either lunchtime or after school.

To track internal and fixed-term exclusions using the managed detention functionality, you need to add an internal exclusion and a fixed-term exclusion session to each day that these can be issued in your school. In most schools, both internal exclusion and fixed-term exclusions can be issued every day. We would therefore need to add these two sessions to each day, using the **add detention session** option from the bottom of the page.

As you can see below, two new sessions have been created for each day using the timings associated with each exclusion type. Exclusions cover the full day, 08:00-16:00, and internal exclusions run from 08:30-16:00. You can use the exact timings and name of your internal exclusion room so that everyone knows what the session means and the associated timing. The exclusion location has been set as the pastoral office so that people know where to go if they have any questions about a student issued an exclusion. This could be replaced with a location relevant to your school but will need to be completed prior to saving.

Session supervisors have also been added to each of my new sessions. You may wish to add all of your pastoral leaders or heads of year as supervisors of the internal exclusion and exclusion session so that they can quickly view the register for each session from the **My detention sessions** link in the **teacher** menu as shown below. Similarly, you will also want to add anyone who is on duty in the internal exclusion room so that they can view the session register and update notes as required.

You can then copy all the sessions to future weeks, providing the weeks you’re copying into are blank. If you already have detention sessions created in future weeks, you will need to create the new **Internal Exclusion** and **Exclusion** detention sessions manually for each day you require them to be used.

**Reviewing behaviour classifications and event actions**

You will need to review your behaviour classifications to ensure that you have either created a separate classification for internal exclusion and fixed-term exclusions or have at least created internal exclusion and fixed-term exclusion follow up events.

The example below shows **Exclusions** as a zero weighted classification with the types of student behaviour that would lead to an exclusion identified in the ‘types of events’ section. You can also see that the follow up action **Exclusion** has been added and selected as mandatory but only visible to school managers and behaviour managers due to the seriousness of the event types and follow up action. This means that only school managers and behaviour managers can issue these event types.

The example below shows the level 4 classification from a tiered level 1-4 behaviour system. The event types are serious and again these events can only be issued by school managers and behaviour managers. Depending on the severity of the event either a pastoral/SLT detention or an internal exclusion can be issued. If both of the follow up events were marked as ‘Recommended’ you would be able to choose which managed detention follow up action to apply when issuing a student with this type of behaviour event.

The screenshot below shows a behaviour event being created, where you would be able to choose the follow up action to apply and click ‘remove’ for the follow up action that you don’t want to issue. This is helpful as it means you can avoid issuing both follow up actions for the same behaviour event that would generate two managed detention entries, unless you choose to do this as it is part of your school behaviour policy.

We now need to check that the internal exclusion and exclusion follow up actions are identified as ‘managed detention’ types. To do this visit the **manage events actions** either from the link shown below or from the **behaviour** menu.

Once on the ‘event actions’ page, click on the **Follow up actions** tab shown below and check the type selected for each of the internal exclusion and exclusion follow up actions. If the type is shown as **standard** click on the word **standard** for the exclusion follow up action and select the **managed detention** option as shown below then save the changes. This should be repeated until both internal exclusion and exclusion follow up events are identified as **managed detention** types.

At this stage you have now setup your managed detention functionality to allocate and record internal exclusions and fixed-term exclusions in GO 4 Schools.

 

**Allocating and monitoring internal exclusions and fixed-term exclusions**

**Issuing and allocating internal exclusions and fixed-term exclusions**

To issue a student an internal or fixed-term exclusion will depend on how you have setup your behaviour classifications, event types and visibility. As we have setup our classifications to only be visible to school managers or behaviour managers, only these members of staff can issue internal exclusions or fixed-term exclusions, which is consistent with most schools.

If a serious incident occurred that required an internal or fixed-term exclusion, you would need to be directly notified about that incident by a member of staff on-call responding to the incident or the member of staff involved in the incident. Alternatively, you could setup behaviour email alerts related to specific serious events that you wanted GO 4 Schools to automatically notify you about. This way if any member of staff logged a certain behaviour event for any student, or group of students, you would receive an email notification and could investigate further and then issue an internal or fixed-term exclusion. It is likely that you or another colleague would wish to investigate any incident and take statements from the students and members of staff involved, before deciding whether to issue an internal or fixed-term exclusion and contacting parents/carers.

The email alerts could be very useful to enable a head of year to be notified about certain serious behaviour event types recorded against students in their year group that could lead to internal exclusion or fixed-term exclusion. Once you have been notified about the behaviour event, you can then add a new behaviour event to trigger the internal or fixed-term exclusion follow up actions. Remember, depending on your behaviour classification and event setup, you will need to select the correct event type from the event menu (shown below) to be able to issue an internal or fixed-term exclusion as a follow up action.

As ‘Serious breach of School rules’ has been selected the follow up actions automatically populates with ‘Internal exclusion’ as an option.

Once the behaviour event type and student have been added, you can also update the school notes so that this information is recorded on the student’s behaviour log and available for review in the future.

Once you have saved the behaviour event the student will appear in the detention sessions **unallocated** list. To identify the student and any others you have added, you can navigate to the **Allocate detentions** option on the **behaviour** menu. You will then be able to allocate students to internal or fixed-term exclusion in the same way as you do when managing normal detention sessions.

By filtering the unallocated list by **event date** for today, you can see the student that has just been issued the **Serious breach of school rules** behaviour event. As this event type had both SLT Detention and Internal exclusion identified as follow up actions both appear as separate events in the unallocated list allowing you to allocate the events separately, so both are completed at different times or allocate both to one internal exclusion session. You have the flexibility to select either option depending on your school behaviour policy.

You are then able to allocate the student to the chosen internal exclusion session as shown below. As the student has two events to be allocated, their name appears twice in the session but only one student is included in the capacity figures. This shows that both events have been allocated and can subsequently be marked as complete if the internal exclusion is completed successfully.

The record of the allocation is shown in the managed detention allocated students page, shown below.

The managed detention is also recorded on the student’s behaviour record in today’s and upcoming managed detentions, and in the student’s behaviour events record, as shown below.

If you then click on **All events in 2019** or one of the month views, you will then see a breakdown of all behaviour events in that time period. If you then click **Show/Hide event details** you are able to view the school notes for each event if they have been added. You can also view any managed detention details that have been added to the detention register by clicking on the **Show/Hide managed detention details** link.

**Monitoring internal exclusions and fixed-term exclusions**

To view the internal and fixed-term exclusion sessions you have allocated, you select one of the options shown below from the **behaviour** menu. Depending on how you have allocated supervisors during your session setup, you will either be able to view the internal and fixed-term exclusion sessions from the **My detention sessions** link or if you haven’t been added as a supervisor for some of the sessions, select the **All detention sessions** link to view all detention sessions available. Remember you can select the date range to view using the menu highlighted below, simply click on the date range you wish to view.

You can see from the screenshot below that the student allocated earlier has appeared in the list. If you click on the **Internal exclusion** session highlighted below, you can open the session register for internal exclusion.

You are then able to record the student’s attendance and satisfactory completion of the internal exclusion session using the register. You can also add notes in the register that will be saved in the session register and can be accessed via in the ‘Detention notes’ field on the student page, by selecting ‘Show/Hide managed detention details’. This could be notes about the student’s conduct, any intervention completed with the student during the internal exclusion session or family/professional meetings that have taken place related to the incident.

Once you have saved the session register and marked each event as attended and completed (where this applies), the student’s behaviour record is updated to show the event type, school notes and detention notes entered in the detention register notes box. You will need to click ‘Show’Hide event details’ to see the school notes information and click ‘Show’Hide managed detention details’ to see the date/time of the detention session, whether the student attended/completed and any notes added to the detention register.

Where the student has attended the detention but not been marked as completed, the status will remain as ‘Attended’ only, as shown in the example below.
