**Logging in/Requesting a password**

Once logged in you will be presented with a choice of demonstration schools. This guide relates to the **Demo Primary school.**

**Setting a preferred teacher**

To get the most from your demonstration experience, once you have logged on you can link your user account to a teacher in the demonstration schools. The benefit of setting up this link is that you will be provided with shortcuts to the chosen teacher’s groups, reports, timetable etc in the menu.

 **The Student Page**

| Whenever you see a student’s name in GO 4 Schools you can click it to navigate to their **student page**. This page summarises information held about the student in GO 4 Schools. (Search for Adams in demonstration school). This includes: - A photograph of the student. - Their timetable for today (if timetable data is available). - A list of pending homework in the GO 4 Schools Homework module. (Not enabled in the demo school). - A summary of their attendance statistics. - If your school is using the GO 4 Schools behaviour module you will also be able to see recent behaviour events for the student and charts displaying their pattern of behaviour over time. (Not enabled in the demo school) |

**Ribbons**

GO 4 Schools can display statistical information about year groups, departments, subjects and groups, such as:

- The distribution of target grades, e.g. what percentage of students have a target of 9, 8 etc.
- The distribution of residuals, e.g. how many students are one grade above their target (a residual of +1) or below target (which is a negative residual).
- The distribution of progress, e.g. how many students are one level above their baseline grade, two levels etc.

The information is summarised in colour-coded ribbons which appear on many pages. A few sample ribbons are described below.

**Please note:** your School Manager can control whether you see “Targets and grades” and/or “Progress” sections.

You can display multiple sets of ribbons on a page so, for instance, you can compare the distribution of current grades and the distribution of target grades for groups in a subject.

Different sets of data may be offered for display on different pages due to the data available. For instance, residuals can’t be summarised unless GO 4 Schools knows target and current grades. If the necessary data can’t be found, GO 4 Schools will choose the “next best thing” based on the data that **is** available.

**Interactive ribbons**

GO 4 Schools has developed a set of interactive ribbons to show grade distribution and the distribution of residual bands which can be defined by your school.

**Statistics**

GO 4 Schools enables you to see real-time statistics across year groups and subjects. The exact nature of what statistics will be available to you will depend on which year group and which subject you are viewing.

**Year Group Statistics**

At the top of each year group page you will see a key statistics table.

In a primary setting, schools use their own Internal Grading schemes, using terminology that already in use at the school. This could use mastery language such as ‘Emerging, Developing, Secure’, or using terms such as ‘Age related expectation’, ‘Expected level’, ‘National’. Whatever your current tracking methodology is, it can be recreated in GO 4 Schools. The statistics table then shows the columns of data that you want to use – current grade, predicted grade, teacher target, end of year target, etc. – and the percentage of students that have reached your chosen ‘Key grade or above’. Behind the grade names you can assign numeric values (school score) and the table also shows the average school score for the cohort.

 

For more detailed year group statistics, you can visit the **Full Statistics** page (there is a link to this page towards the top of the year group page) which will break the statistics down by subject, or if you click on the “Show/hide focus groups” link you can see the statistics broken down by your student attribute types.

 

**Please note:** the year group statistics only include students from that year group, for example if you have mixed age teaching groups, only pupils in the chosen year group will contribute.

 

**Subject Statistics**

On each subject page you will see a range of key statistics tables depending on which data is held in your internal grading scheme (numeric and/or APS). These tables include all students studying the subject, regardless of which year group the student is in, for example all students in a mixed age class.

Transition matrices may be shown where APS data is provided and settings identify a baseline or NC level to work from.

**How actual grades are used in GO 4 Schools statistics**

Once SATs results have been uploaded a table appears on the Year 6 page which shows the school’s accountability measures. If KS1 SATs have been uploaded, GO 4 Schools will also calculate the progress score (based on the previous year’s data set), and will indicate whether the floor standard has been met.

Actual grades will also show in data explorers and on student pages.

**The subject explorer and year group explorers**

The **Subject explorer** includes detailed information from the markbook such as summary grades for each marksheet, and the **Year group explorer** includes summary information about all subjects, e.g. their current grade or residual band.

**Schools Leavers**

A list of school leavers can be accessed from the menu item “School leavers”. Clicking on a student will provide you with access to their “student details” page, with information about their attendance, assessment, behaviour etc, up until they left the school. It also provides access to any reports produced for them.

**Tracking**

**Viewing markbooks**

A **markbook** is a summary of the assessments held in **marksheets**. Marksheets – see below – are where grades or marks are entered. A sample markbook is shown below. The markbook is for a subject called **Year 6 Y6 Art and Design** and lists students in **Rowan** class. The qualification linked to the subject is **Upper KS2 Foundation subjects**. The markbook summarises several marksheets set up by the subject leader: “Topic - Africa”, “The Stable”, “Seashore”, etc.

Key information for each student is listed on the left, such as their name, a link to their photograph, their sex, plus a variety of grades held for them.

 

Above the table are “popout” buttons that show demographic information (the blue button), SEN information for the student (the purple button) and behaviour information (in green). These buttons are either created due to your module subscription (such as behaviour) or can be customised by your school (such as the “key data” button shown in dark green)

 

On the righthand side is a summary of the marksheets that have been set up for the subject. The summary grades for each marksheet are colour coded. You can drill-down into a marksheet by clicking on its name.

**Residual colour coding**

GO 4 Schools colour codes grades so that it is very easy to tell at a glance whether students are on target, above or below. Customers can create their own schemes with their own wording e.g. ‘Meeting expectations’, and their own choice of colours. The number of bands is also flexible so you can have as many or as few as you require. The size of the bands can also be changed, and can be modified throughout the year, so if you are expecting 3 steps of progress through the year you could have -3 on target in September, but change it to -2 on target in January, with -3 below target. That way you can see if students remain on track rather than starting the year with them all well below.

 

**Grade types**

GO 4 Schools supports several types of summative grades/levels: baseline grades, target grades and progress (or achievement) grades. There are multiple versions of these grades available to your school to allow the most flexibility, however it means that some of the grades below may not be used, or you may want to modify them for your school. This can be done per year group to display only the information that is relevant for each year.

 

**Baseline grade**

**Baseline grades** are used to store a student’s ability level at the beginning of an academic year and are useful for calculating a student’s progress. Baseline grades can be added to GO 4 Schools via a few routes. They can be:

- Entered in the baseline column in a markbook - for the current academic year only.
- Uploaded by your school data manager – for any academic year. Baseline grades for previous academic years can be linked to subjects and will then appear in the Student Progress pop-out on the markbook.
- Calculated by GO 4 Schools using students’ actual KS2 grades (not currently supported for scaled scores, and only where your school manager has chosen this option).

**Target grades**

The following is a guide to how the targets could be used, but you can rename each target as required and enable or disable them to match your school’s current methodology.

- The **External target** will have been uploaded to GO 4 Schools by your school data manager. External targets typically come from the Fischer Family Trust.
- The **Teacher target** is usually used to fill in “gaps” in the external target. If present, it overrides the external target.
- The **Target** grade is used to select between the two targets above to present a single, unambiguous target to parents and students. When an external target and a teacher target are both present, the teacher target takes precedence.
- The **Aspirational** **target** provides a place to track aspirational targets for students.
- An **Additional** **target** is available if your school requires another type of target.

**Progress grades**

Each grade type can be renamed and enabled or disabled for each year group as required.

- The **Current grade** is calculated from marks entered in marksheets (where the school uses GO 4 Schools markbooks).
- The **Projected grade** is typically used to record the grade the school expects the student to achieve by the end of the year. For instance, for KS2, students are expected to progress through the year, so a student may have a current level of 3a now, but be expected to reach 4b by the end of the year. This is often the higher of two grades if a student is on a borderline, as it is often shown to parents and students. This may be “locked” a few weeks into the term by your school, to help track accuracy of projections.
- The **Honest grade** is available if schools would like to track what a classroom teacher thinks a student is most likely to achieve. This may be the lower of two grades if a student is borderline and is usually not shown to parents and students.
- **Actual grades** will also appear in markbooks when these have been uploaded to GO 4 Schools by your school data manager.

**Entering grades (except marksheet grades)**

Some of these grades may be hidden by your school if they are not needed in your assessment model. If your school **does** use them, they will appear on the left of the markbook, but they may be read-write or read-only, depending on your school’s approach to tracking. If they are read-write, you can update the values held in this column and save them by clicking the “Save” button at the bottom of the markbook.

 

**Entering marks in marksheets**

A sample marksheet is shown below. The marksheet’s name is **Topics** and it is for a subject called **Year 6 Science**. It lists students in **Rowan** class. The qualification linked to the subject is **Upper KS2 Foundation subjects: Science**

The left-hand side of the marksheet shows similar information about each student to the markbook – see above - but in contrast the right-hand side lists the individual assessments.

Depending on how the curriculum leader has set up the marksheet, assessments may be recorded as:

- Marks – e.g. marks out of 10, 20, 100.
- Grades, e.g. as “6D”, “WT”, “Secure”
- Checkboxes, e.g. to indicate done/not done.
- Notes, to enter free text.

You can click the “?” links at the top of each column to check what you should enter.

Once you have entered marks, you should click the “Save” button at the bottom of the page.

 

**“Not present” marks** – If a student was not present for an assessment, you can enter “/” instead of a mark or a grade to indicate that no mark is available. In contrast to entering a zero or a U, entering “/” does not lower the average mark for a student.

**Reports**

GO 4 Schools can be used for report writing as well as tracking. If your school is using GO 4 Schools for report writing, you will see an additional link in the navigation menu for “Comment banks”.

Clicking on the “Reports” link will list the available set of reports for your selected “Preferred teacher” and indicate what action (if any) is required. Clicking on a set of reports will take you to the report-writing page (see below).

Reports for students in GO 4 Schools can contain:

1. Grades, e.g. current working grade, target grade, projected grade, which are fed into reports automatically, so no data re-entry is required.
2. A written comment, which may be based on text drawn from a comment bank.
3. One or more “Attributes” such as “Attitude to learning” or “Organisation”, in which you choose zero, one or more items from a list.

Your school can choose which of these to include in each set of reports that are produced. For instance, full reports may include a comment, but interim reports might not. If a set of reports includes a written comment for each student or attributes to be specified for students, input is required from teachers. In contrast, reports that consist of grades only require no special input from teachers as long as marks have been entered in markbooks.

 

**Comment banks (aka “statement banks”)**

Comment banks are sets of pre-written comments about students that can be used when writing reports. GO 4 Schools allows you to create your own comment banks, but also allows curriculum leaders to create comment banks for you to use.

Each comment bank in GO 4 Schools has a name, a set of comments, and can be tagged as being suitable for use with any year group or just a specific year group. We recommend setting up separate comment banks (containing different comments!) for each year group whenever possible; with GO 4 Schools it is easy for parents and students to look back at previous sets of reports.

This lists any existing comment banks, and allows you to start the creation of a new one by clicking the “Create a new comment bank” link. If you decide to create a new comment bank, you will need to provide a name and select which year group it should be used for. You can then start adding comments to it. If you are a curriculum leader you will be able to share your comment bank with other staff. |

Each comment in a comment bank consists of the comment itself and a **code** which can be used to quickly identify the comment in a list. The comment can include various **substitutions** which, when the comment is added to a report, are replaced with information drawn from the database. The available substitutions are as presented in the table below.

When setting up a new set of reports, Report Managers will be able to choose if comments are allowed in a report, and whether you will be able to type “free text” to go with your comment bank statements or pick from comment banks only.

GO 4 Schools does not come with any built-in comment banks, as experience indicates that no two schools want to use exactly the same comments. There is no way of importing comment banks from other software at present other than simply copying and pasting individual comments.

**Writing reports**

In the “Teacher view” mode, the top of the report-writing page indicates which set of reports is being written, and the subject and group of interest.

Each student in the group is listed on the page, with the following information:

- Progress of the report writing process, from “Not started” to “2nd review complete”. As a reviewer you can easily click to pass 1st or 2nd review. If changes are required, you can click the “Requires attention” flag and this will open up a comment field. As a teacher you can also click the checkbox to say that “No report required”, for instance if a student has only just joined the subject.
- The student’s photograph and attendance.
- Grades for the student. Grade names written in blue will be used in the report. You can also update some grades here (the changes will be recorded on the markbook for the subject as well).
- An “Attributes” box from which the values of attributes for the student can be selected.
- A “Comments” box, in which a textual comment can be entered. Clicking in the comment box will give you access to any comment banks available to you. If your report manager has allowed it, you may also be able to write free text. The contents of the Author box can be overwritten if required.

**Tutor view**

In the tutor view, all of the subjects for a single student from the group you were looking at are now displayed, enabling you to quickly review how a student is performing across all of their subjects. To move onto the next student, you can choose their name in the “Group” box at the top of the page.

 

At the bottom of the report-writing page is the “Save” button. **We recommend saving your work regularly, as you will be “timed out” after 20 minutes of inactivity which may result in you losing work.**

**Attendance**

**Statistical Analysis**

If your school has subscribed to tier 1 or above of the GO 4 Schools Attendance module you will see a link navigation bar labelled “Attendance” which will give you access to attendance statistics for predefined groups of students, such as Primary, Reception, KS1 & KS2.

 

Assuming you have a ‘modern’ browser, such as Microsoft Edge, or Google Chrome, you should see charts showing attendance trends over time. These are backed up with tables of attendance statistics that are visible in all browsers. Many of the tables display hyperlinks that allow you to drill down to look in more detail at, for instance, a specific year group or a focus group such as pupil premium students.

 **Session attendance (Registration)**

If your school has subscribed to tier 2 or above of the Attendance module you will be able to record session/registration marks via GO 4 Schools using a PC, Mac or a mobile device such as a tablet or smart phone. These marks are written back to your school’s MIS on a daily basis for your school’s census returns.

Across the top of the page is a button allowing you to select which day/week you want to view. You can enter marks into most cells for the current day and GO 4 Schools records who has entered/changed which marks, and when. Marks will typically become read-only to all but attendance officers after 1 day (depending on your school’s configuration). |

You can use the following functionality on this page:

- You can click on an empty cell to record an attendance mark for a single student. Your school can choose which types of mark you can enter. These will usually just be “Present”, “Late” or “Absent”, although Attendance Officers can enter other types of mark too. (It doesn’t matter whether you enter a “/” or a “\\” mark for present – they are treated the same way.)  
   Certain marks can be entered by attendance officers only; you will not be able to overwrite these marks.
- You can click on the “+” sign to enter the same mark for an entire group. Existing marks will not be overwritten by this action.
- You can click on the “\>” sign to show additional columns into which you can enter the number of minutes late a student is and brief notes.
- There is a Save button at the bottom of the page. You will be prompted to save your marks if you try to move away from the page without having saved them first.
- The “H” button allows you to highlight specific types of mark.
- The “C” button switches between the compact and full views. The compact view allows you to see more information on the page at the same time; the full view is easier to use on mobile devices.

**Special registers**

GO 4 Schools allows you to create bespoke ‘Special registers’ where you can assign groups of students from any year group into a single group such as ‘Vulnerable students’, ‘Attendance concerns’, ‘Medical evidence’, etc. (Not visible on the Demonstration site).

**Detailed student attendance**

Attendance summary data for individual students will appear on their student page as seen above in *The Student Page* section. From here school staff can also view the detail behind it by clicking on the hyperlink shown below. This link can be enabled or disabled for parents and students through the Attendance settings page.

In the main page, on the Attendance Summary tab, you can see a summary of  session attendance, session attendance by type (cumulative and weekly), heat map, and lesson attendance by subject:

**Seating Plans**

The Seating Plans module is not widely used by Primary schools but is a quick and easy way to show different seating plans for the subjects that you teach. These plans can then be populated with grade or attribute data held in GO 4 Schools.

 

Setting up a room plan is as easy as clicking where you want the seats to go. You can save multiple layouts for each classroom such as ‘Group tables’, ‘Horseshoe’, or ‘Rows’.

There is also a text option to show reference points around the room such as the door, the board, the teacher’s desk, etc.

 

Once the room plan(s) have been created, you can then assign students to seats by dragging them from the left onto the relevant desk.

Whilst in this view you can ‘Change view’. By default GO 4 Schools opens up with a student’s name and photo. Other options are:

**FAQs**

**Do I have to maintain my class lists?**

No, GO 4 Schools gets information about subjects, groups, students and their teachers from your school’s existing Management Information System, e.g. SIMS, Arbor or Bromcom etc. The information is updated nightly.

 

**What happens if a student changes group? Do I have to re-enter their marks?**

No, their marks follow them if they move from one group to another within a subject.

 

**Can I record marks and write reports from home?**

Yes, GO 4 Schools is a website, so can be accessed from anywhere on the internet.

 

**How much information can students see?**

Students can see information about themselves only. They can see information that the school chooses to let them see for example all of a markbook, marksheet grades only or summary grades only.

 

**How much information can parents see?**

Parents can see information about their own children only. They can see information that the school chooses to let them see for example all of a markbook, marksheet grades only or summary grades only.

However, schools can choose different settings for parents compared to students if they wish.

 

**Can I access any markbook?**

Yes, you can enter marks into any markbook, although GO 4 Schools does record who makes changes.
