Common grade upload issues
Below is a list of common upload problems we see in GO 4 Schools and how you can resolve them. Please review the Grade File formats page for information on how to set-up your .csv file in a format suitable for uploading into GO 4 Schools
B4 error when uploading KS 2 Actual grades
This could be because your file contains grades/levels which are whole numbers, e.g. "3". Whole levels can’t be uploaded as each sublevel carries a different number of points (e.g. 3c =19 points, 3b=21 points).
If you are uploading decimal grades/levels then they all need to be set at one or two decimal places in your .csv file. For example "3" needs to be uploaded as "3.0" or "3.00", "4" needs to be uploaded as "4.0" or "4.00".
Another common issue is that you may have a grade of "0" or "0.00" in your file. Currently this causes an upload to fail as we cannot map this decimal level to a grade so it should be removed from your file. If a pupil has P scale grades, you will not be able to upload the decimal level, please use the format “P4” etc.
B4 error when uploading a grade
Commonly caused by grades in your file which are not valid grades in the subject’s existing grading scheme.
e.g. A subject using a new GCSE 9-1 qualification would not expect a grade of "C" to be present in the upload file relating to that subject.
Please ensure the grades in your file match the grading scheme of the subject you are uploading them to. To find the correct grade name, please look at the Subjects and Qualifications page, and click on the qualification name. This will show you the valid grade names, e.g. “Pass” or “Level 2 Pass” etc.
B2 error when uploading a grade
This may indicate a subject name in your file which does not exist in that year group in GO 4 Schools. To resolve this you would need to check the subject name is correct in your file. If you are uploading an Actual grade for a subject which does not exist in GO4S, you can use the QAN code in place of the subject name. A B2 error may also occur if there is a grade in your file for a student who is not a member of the associated subject in GO 4 Schools.
B1 error when uploading a grade
Commonly occurs when a student in the upload file can’t be found in GO 4 Schools. Please ensure all columns are present and the information accurately matches a student in GO 4 Schools. You may wish to consider uploading with a UPN instead of Surname, First name, Date of Birth, and Sex. This is especially helpful if you have two instances of a child with the same details.
Tip: Double grades i.e. 5/5 or 55
If a subject uses the double grade format, and you're using Excel to manage your upload file, a few extra steps are required specifically for Excel to treat this data correctly:
- Highlight any columns that contain double grades (i.e. for Combined Science)
- Right click your mouse and select "Format Cells...."
- In the Number tab select the Custom category and in the Type box enter the following: d/m
- Select the OK button
Your data may be without a forward slash i.e. 55 - in that case, use the following formula in Excel to apply the correct format:
=LEFT(B2, 1)&"/"&RIGHT(B2, 1)
Where B2 is the cell with the grade.
Further Tips which can help when an upload is unsuccessful
If you are creating your file using Microsoft Excel, be aware that it will often remove decimal values of .0 or .00 leaving you with whole grades if you reopen the file after saving, e.g. “4.00” will be changed to “4”. If uploading Key stage 2 decimal grades/levels we recommend formatting the grade column as “Number” to five decimal places, checking through your file, then saving in .csv format. Close the file, then upload it without opening it or re-saving it in between. Another tip when reviewing your file is to open it with Microsoft Notepad. You can do this by right clicking on your saved file and then selecting the option to "Open with > Notepad”. Notepad will allow you to see any extra commas in your file which will be treated as additional columns. These will need to be removed so that your file is in the accepted format. See example below: Surname, First name, Date of Birth, Sex, Subject name, Grade name
Smith, Thomas, 01/01/2004, M, Art,, B+
The ",," will cause the upload to fail as there should not be a column between the subject name and grade.
In this case one of these commas would need to be removed from your file before uploading so it would become:
Surname, First name, Date of Birth, Sex, Subject name, Grade name
Smith, Thomas, 01/01/2004, M, Art, B+
