Controlling staff access

Login mechanisms

There are two mechanisms available for staff logging on to the GO 4 Schools web site:

•    Email and password login – where the member of staff provides their school email address and creates/uses a GO 4 Schools password. 

•    Single Sign On (SSO) – where the member of staff uses their Microsoft/Google account credentials to access the site.

Login requirements

For a member of staff to be able to log in to GO 4 Schools, the system needs to know:

•    Their school account name and email address, i.e. they must have an enabled account with a display name and an email address in your school’s Active Directory system, and they must also be a member of the staff security group whose name was provided during installation of the feed system. The list of staff accounts is retrieved from your school’s Active Directory system by the nightly feed.

Legacy Staff roles

This is a list of the legacy staff roles available in GO 4 Schools. As work continues on our roles and permissions functionality you'll be able to set up custom roles for your school.

Teacher

Can enter marks into marksheets, write reports and create personal comment banks. They can also enter certain target and progress grades when these are made available by the school.

The default level of access for a staff account within GO 4 Schools.

School manager

Can manage settings related to access control (including changing staff roles), can upload grades and change school settings, such as the school address etc.

 

Report manager

Can create sets of reports, monitor report-writing progress, modify report attributes, modify report templates, upload assets for use in reports and review the status of parental email addresses.

Intended for use by report managers.

Curriculum leader

Can create and edit markbooks, monitor report writing progress and allocate subjects to departments.

 

Senior leader

Not used at present.

Not used at present.

Comment bank manager

As for the teacher role, but with the added ability to share their comment banks with other teachers.

Intended for use by "seconds in departments" who may assist with setting up shared comment banks.

Behaviour manager

Can set up the behaviour policy, such as the types of event that can be recorded (both positive and negative) and the actions that staff should perform in response to them.

Intended for use by those responsible for setting the school’s behaviour policy.

Lesson plan manager

Not used at present.

Document manager

Can upload and manage Individual Education Plans (IEPs) for students.

 

Student target manager

Not used at present.

Attendance officer

For use at schools with the GO 4 Schools attendance module. The Attendance officer role gives the user access to the full range of attendance marks and control over registers, and access to the attendance settings.

Normal teachers will not need this level of access, they will be able to fill in their registers with the standard Teacher role in GO 4 Schools.

 

Roles can be assigned/unassigned by clicking on a member of staff’s name on the Staff access page and then checking/unchecking the checkboxes listed for the available roles.

Staff access FAQs

•    Where does the list of staff come from? 

The list of staff who can access GO 4 Schools is typically drawn from your school’s Active Directory system as part of the nightly feed. To access GO 4 Schools each member of staff must have a First name, Last name, Display name and email address in Active Directory and their account must not be disabled. They must also be a member of the staff security group whose name was provided during the installation process.

•    What happens if a member of staff forgets their password?

They should enter their school email address and press the “Send password reset link” button on the login page. A new password will then be sent to them at their school email address.

Troubleshooting staff access

Problem

Suggested action

Staff member not appearing in GO 4 Schools

Check that the staff member has a first name, last name, display name and email address in Active Directory and that they are a member of one of the staff security groups specified during installation.

Provide any missing values and check the next day once the nightly feed has been processed.

Staff member unable to login

1) Check the email address held for them by GO 4 Schools by clicking on their name on the Staff access page.

2) They can request a new password on the Forgotten Password link on the sign-in page. If the email address is valid an email will be sent to the address with a link that will be valid for one hour.
