Creating Reports to support the UCAS application process
To collect subject references from teachers and 6th form mentors in preparation for UCAS applications, a report can be set up in the GO 4 Schools Progress reports module. Once the report is complete statements can be written to the UCAS system by using a copy and paste method.
Using GO 4 Schools for UCAS statements enables managers and Sixth form leaders to quality assure subject and mentor/tutor comments, monitor the report writing process, meet set deadlines and reduce the administration burden of report production. The setup of UCAS reports will depend on the organisation of your Sixth form provision.
6th form tutors/mentors currently linked to Registration groups in GO 4 Schools
- Copy the existing Registration/Tutorial subject to a new subject called “UCAS Tutor report” (or similar) by creating a feed rule to Copy groups from one subject into a new or existing subject, select Y13 > Registration > All groups > ’’Enter a new subject name, "UCAS Tutor report" (or appropriate name for your school). Keep existing teachers and use the existing group structure.
- The next day (after the scheduled daily feed) UCAS Tutor report will appear in the Unknown department. This can be left in here or added to a department of your choice.
- The subject now needs to be excluded from stats and marked as a tutorial subject via Subjects and Qualifications and select the tick boxes Exclude from stats and Tutorial subject.
- Create a new report excluding subjects which are not relevant to the UCAS process, and selecting the grades which will be used on the UCAS form.
Setting up ad-hoc UCAS reference groups
If you have specific teaching staff writing references for groups of students that are not linked to subjects or registration.
You will need to create a new subject, assign new groups, add teachers and mark this as a Tutorial subject and exclude from statistics by following the steps below:
- In the first instance only one group can be created to allow the scheduled feed to create the new subject via feed rules, select Add one or more students to a group in a new or existing subject > Y13 Registration groups > select students to add to the first report group. Students can be picked from the registration group or via the search tab. Follow the on screen instructions to create a new subject called “UCAS Tutor report” (or similar) and add students to a new group. Note: for larger sixth forms there is a limit to the number of students that can be selected, we recommend a maximum of 50 per rule.
- The following day (after the scheduled daily feed) repeat the above process and create the additional groups as required using "UCAS Tutor report" as an existing subject, ready to allocate teachers for writing the reports.
- “UCAS Tutor report” subject will appear in the Unknown department. You may wish to move to move it to another department using Manage Departments.
- The subject now needs to be excluded from stats and marked as a tutorial subject via Subjects and Qualifications and select the tick boxes Exclude from stats and Tutorial subject.
- The following day allocate staff members accordingly to the groups. This can be done by adding a new feed rule to Change the teachers for a group. A separate rule will need to be set up for each group created.
- Create a new report excluding subjects which are not relevant to the UCAS process, selecting the grades which will be used on the UCAS form.
When instructing staff to complete the “UCAS Tutor report” please remember to instruct the staff to look at Tutor view. This will enable them to see all the comments from the subject tutors.

Set up in the previous Academic Year
The same process can be followed for Year 12 registration groups to start collating information earlier. Set up a report with a due date in the following academic year. Once GO 4 Schools promotes to the next year you will need to go back and view this via the Academic years menu and then in Report management select the Y12 UCAS report Edit link and an additional button on the first set up screen: Allow all teachers to enter comments and attributes for this report in the previous academic year is visible to check. Staff writing reports will need to change academic year and select Reports and choose the teacher who taught the group last year to access the report.
USEFUL TIP:
You can create markbooks for the UCAS tutor comment which could contain attributes (e.g. punctuality, attitude) and notes (e.g. recording achievements) which would further support the writing of UCAS reports.
